How to Calculate Gazebo Requirements for Any Event
Getting the right number of gazebos is critical for any event hire business. Too few and guests are exposed to sun, wind, or rain. Too many and you're over-spending on transport, setup, and stock that could be earning at another booking. This calculator uses industry-standard space allocations to give you an accurate starting point.
Space Per Guest: The Industry Standard
South African event professionals typically allocate 1.5 m² per seated guest (including chair and table space), 0.75 m² per standing guest (cocktail-style events), and roughly 1.1 m² per guest for mixed layouts where some attendees are seated and others circulate. These figures are used across the hire industry from Johannesburg to Cape Town and are the basis for our calculator.
When to Add Extra Cover
The calculator output is a minimum. In practice, you should add 10–20% additional gazebo cover for buffer space. Buffet tables, DJ booths, stage areas, registration desks, and walkways between gazebo clusters all consume floor area that isn't accounted for in a simple per-guest formula. For weddings and formal sit-down events, add at least 15% for a dance floor and head table.
Choosing the Right Gazebo Size
The 3×3m gazebo (9 m²) is the most versatile size — ideal for market stalls, product displays, and small registration points. The 3×6m gazebo (18 m²) is the workhorse of the South African hire industry, suited to corporate events, catering service areas, and medium gatherings. The 6×6m gazebo (36 m²) is best for weddings, large functions, and venues that need fewer structural connections. Most hire companies find that a mixed fleet of 3×3m and 3×6m units covers 90% of bookings.
